Avisita AB's processing of personal data

Avisita AB complies with the requirements of the General Data Protection Regulation (GDPR). The GDPR applies from 25 May 2018 and means, among other things, that you get better control over what personal data companies and organizations have about you. We process all our customers, partners, suppliers, candidates and employees' personal data in accordance with the Data Protection Regulation and with the utmost respect for personal privacy.

What is personal data?

Personal data is one or more pieces of information that together can identify a living person. Names and telephone numbers are examples of personal data. Sensitive personal data is a category of personal data where extra protection measures must be taken. Health data is an example of sensitive personal data. Purpose of the personal data

Avisita processes personal data in order to fulfill an agreed service or product, in our case usually an accommodation or travel service.
This data can be used for the following purposes:

  1. provide accommodation, travel and meeting-related products and services that you order
  2. contact you in case a booking changes
  3. immigration/customs, security, health or administrative checks
  4. legal purposes
  5. statistical analysis
  6. customer surveys
  7. customer relationship management messages
  8. offers of services and products that we think you might be interested in

Swedish legislation also requires certain information to be stored, such as the Accounting Act.
If you become a candidate in one of our recruitment processes, information about you will be saved that is necessary for us to be able to carry out a professional recruitment process.


Collection of personal data

When you make a booking through us, we collect the personal data needed to carry out the booking according to your wishes.
In some cases, your employer has an agreement with us that includes that we have already taken part in personal data such as the names of approved customers before you make your booking.


In the context of recruitment, we ask applicants to submit CVs and cover letters and may process the personal data contained in such documents.

What personal data do we process

Personal data may include name, address, gender, passport number, telephone number, social security number, email, professional title and membership number.

Who gets access to the personal data

We use subcontractors when booking accommodation, travel and meeting services, such as accommodation and conference facilities and airlines. We impose the same high standards on our suppliers and data processors as we do ourselves regarding the processing of personal data and the requirements of the General Data Protection Regulation.

Transfers of personal data to a so-called third country (countries outside the EU/ESS) are never made without the customer's knowledge. Personal data transferred is limited to what the desired product or service requires to be conveyed.
The transfer of information or transparency to, for example, authorities also occurs to the extent that legal or regulatory requirements so require. We never transfer or process data to other unauthorized parties. Avisita never resells personal data to third parties.

We may share your application with our employees involved in the recruitment process and with selected third parties who act as data processors for us and assist us in the recruitment process. These third parties may be, for example, recruitment companies, partners for conducting personality tests, etc. All disclosures are made in accordance with the law and your personal data will not be used for purposes other than those we have already informed you about. We also ensure that your personal data is handled legally and correctly if it is transferred outside the EU/EEA area.


How long is personal data stored

Avisita has a joint personal data responsibility with customers who have entered into a framework agreement on booking assignments with Avisita AB. This means that the parties are jointly responsible for the processing that takes place in or is shared to Avisita's customer portal where the personal data is stored. The parties' respective responsibilities for processing personal data in the customer portal are regulated in "Arrangements for joint personal data responsibility".

When Avisita is hired to book accommodation, travel or meetings, your personal data is stored for as long as your employer has a valid contract with us. If the agreement is terminated, the personal data is saved for another six (6) months or as long as there are unfinished bookings.
In the financial system, the necessary information is saved in accordance with the Accounting Act for seven years.

If you have registered to receive marketing mailings, you can opt out of further mailings at any time.
If you are not employed by us, we will store your personal data for a maximum of two years after the end of the recruitment process, after which the data will be deleted or de-identified. If you are employed by us, your data will be archived in your employment file and will be stored in accordance with our internal personal data policy for employees.

Protection of personal data

We take the necessary security measures to protect your personal data. These may include technical measures such as antivirus, firewall, encrypted email, multi-factor authentication and well-protected booking systems or organizational measures such as data minimization and access minimization.

Rights of the individual

As an individual, you have the right to request an extract of what personal data is stored, the purpose and legal basis for the processing and the recipient of the personal data. Likewise, the right to request deletion of data that is no longer needed for the purposes for which it was collected.
