General conditions for meetings and events

These general terms and conditions shall apply to the Customer's booking of meetings, conferences and events through Avisita, unless otherwise stated in the confirmation.

It is the customer's responsibility to check that all information in the confirmation, such as dates, number of rooms, guest names, etc., corresponds to the request. Any inaccuracies should be reported to Avisita immediately.

Price

The price to be paid by the Customer for the booked event is stated in the Customer's booking confirmation.

If the Customer engages Avisita with a request and the request has been confirmed, but the Customer then chooses not to complete the booking via Avisita, but completes the booking with another supplier, or directly itself, Avisita reserves the right to charge the Customer for work done according to the principle of current account according to the current price list. However, if Avisita cannot deliver according to the confirmed request, Avisita does not have the right to charge for work done.

Terms of payment

All bookings are paid by the Customer against an invoice issued in accordance with the payment terms specified in the framework contract, unless otherwise agreed in the confirmation. If the invoice is not paid in accordance with the payment terms, the Customer is not entitled to use the booked accommodation. The Customer is responsible for ensuring that
Avisita receives the correct information for issuing the invoice.

The payment model and terms are stated in the confirmation. Depending on the length, scope and nature of the booking, Avisita applies three different payment models:

Deposit - part of the total value of the booking is invoiced and paid in advance

Prepayment - part or all of the booking is invoiced and paid in advance

Payment in arrears - part or all of the booking is invoiced and paid in arrears

List of participants

Names, contact details of guests (if any), special diets and food preferences as well as other requests regarding the participants' stay at the event must be received by Avisita no later than 14 days before arrival unless otherwise stated in the confirmation.

Work done

Unless otherwise stated in the confirmation, Avisita will charge for project management and administrative work, such as additions and changes to the booking, special requests, correction of incorrect information provided by the customer, etc. The work is charged on a current account basis according to the current price list.

Cancellation and changes

Changes and adjustments to the booking are generally free of charge until the booking is confirmed. However, Avisita has the right, but not the obligation, to charge for work done according to the current price list throughout the booking process, which in that case shall be agreed with the Customer.

Unless otherwise stated in the booking confirmation, cancellation must be made no later than 30 days before the first day of the event in order for the Customer not to incur any costs from the meeting facility or other external supplier. However, Avisita is in any case entitled to compensation for time and effort spent. Changes and cancellations must be made in writing to Avisita.

If canceled later than stated in the booking confirmation, 100% of the booking will be charged unless otherwise agreed.

Customer's commitment and liability for damages, etc.

The Customer is responsible for the persons (guests) to whom the booking relates. This means that the Customer is responsible for:

all costs incurred in connection with the guests' stay at the venue, such as additional bookings, room service, etc. and not specifically mentioned in the confirmation,

damage and vandalism caused by guests, regardless of the reason, to the meeting venue or the property of the meeting venue and not covered by the meeting venue's insurance,

any additional costs for cleaning, and

that guests respect the rules of the accommodation facility, such as rules of conduct, etc.

In the event that Avisita incurs any cost as a result of the Customer's and guests' stay at the venue, the Customer shall indemnify Avisita in respect of such cost, irrespective of the reason for the cost being incurred, and irrespective of whether the Customer considers the cost to be incorrect.

However, if the Customer considers the cost to be incorrect, Avisita shall be obliged to assist the Customer to a reasonable extent in dealing with the venue to raise the Customer's initial challenge and any objections to the cost.

Limitation of liability

Avisita cannot be held liable for any claims that the guest(s) booked for by the Customer may have against the venue or the venue may have against the Customer. This includes but is not limited to claims relating to the standard of the venue and the conduct of the venue. Avisita can never be obliged to compensate the Customer for indirect losses, such as loss of production, loss of income or similar.

Avisitas opening hours

Avisita is open on weekdays 8:00-17:00. Deviating opening hours can be found here. In case of need for other opening hours than above, on-call hours apply. Any on-call hours must be agreed upon by the Customer and Avisita separately and are stated in the confirmation. On-call time is charged at a fixed hourly rate according to the current price list.
